Event photography shot list

Corporate conferences, product launches, and evening galas all share the same rhythm: arrival, main moments, networking, and celebration. This event photography shot list template gives you the ten anchor blocks a client marketing team expects — plus practical lens and lighting notes so you can shoot the whole day without rereading a brief between sessions.

Sample event shot list

A 12-hour corporate event day. Each row is one block that expands into 20–50 delivered frames, so a full run of this list lands around 300–500 edited images for the client.

How to build your own

  1. Get the run of show first. Every block on your list should anchor to a slot in the client's agenda.
  2. Frame for the deck. Marketing teams crop to 16:9 for LinkedIn and slides — leave headroom on every hero.
  3. Cover speakers three ways. Wide with branding, medium, and tight — so the recap post has variety.
  4. Chase sponsor logos. Every hour, deliberately compose one frame with a visible sponsor mark.
  5. Assign the second shooter. One on stage, one working the room — never overlap during keynotes.

Frequently asked questions

How many photos should I deliver from a corporate event?

For a full-day conference (8 hours), 300–500 edited images is standard: 60–80 keynote/stage, 80–120 breakouts and panels, 60–100 networking candids, plus 40–60 branded venue and detail shots.

What lenses should I bring to an event shoot?

A 24–70mm f/2.8 covers arrival, networking, and wide venue frames. A 70–200mm f/2.8 on a second body handles keynote, panels, and audience reactions from the back of the room without disturbing speakers.

Do event clients want 16:9 crops for their decks?

Yes — most marketing teams need 16:9 hero images for LinkedIn, decks, and event recap posts. Frame a bit wider than you'd like so a horizontal crop still holds the subject and the branded backdrop.

Should I use flash at a corporate event?

Silent-shutter available light for keynotes and panels. Bounce a low-power on-camera flash off the ceiling for networking, awards, and evening reception frames where ambient light drops below ISO 6400.
